Cancellation, Reschedule & Refund Policy
At The Wellbeing Campus, we aim to deliver high-quality training experiences and appreciate the value of your time. To ensure transparency and fairness for all parties, the following policy applies.
1. Rescheduling Requests (Customer Initiated)
1.1 Reschedule requests must be submitted in writing to hello@wellbeingcampus.com.au
1.2 The following rescheduling fees apply based on notice provided:

2. Cancellations & Refunds (Customer Initiated)
2.1 Refunds are processed according to the following schedule:

Booking fee is $150
2.2 We are unable to refund booking fees charged by third-party platforms (e.g. Eventbrite).
3. Cancellations or Reschedules (Initiated by The Wellbeing Campus)
3.1 In the unlikely event that The Wellbeing Campus cancels or reschedules a course, customers will be offered either:
a full refund (less any third-party booking fees), or
the option to transfer to an alternative course date
3.2 All such notifications will be sent via email to the address provided at the time of booking.
4. Blended Courses (eLearning + Instructor-Led Component)
Blended courses combine a self-paced eLearning module with a live, instructor-led component (delivered via Zoom or face-to-face). The following fees and conditions apply specifically to this course format.
4.1 eLearning access and expiry The self-paced eLearning component is non-refundable once access has been granted, and remains valid for 12 months. After 12 months, access expires and a new voucher must be purchased. The instructor led session must be attended within 3 months of accessing the eLearning.
4.2 Changes to a booking (participant substitution or session transfer) — $180 Enrolments are made for a named individual at the time of booking, for a specific session. A place cannot be purchased on a speculative or "seat-holder" basis with the intention of nominating the actual participant, or the actual date, at a later time. Any change to a booking is offered as a limited courtesy, subject to the conditions below — it is not an automatic right of the booking.
This covers two types of change, both attracting the same fee:
Substituting a different participant — transferring the enrolment to a different named individual within the same organisation.
Transferring to a future session — moving from the booked instructor-led (Zoom or face-to-face) session to a different session date, must be within the same organisation.
Conditions that apply to both:
A $180 fee applies per change, and one change only is permitted per original enrolment.
Any transfer to a future session is subject to availability — it is not guaranteed, and is confirmed only once a place has been secured.
Changes must be requested at least 7 days before the currently scheduled instructor-led session, regardless of the reason for the request. Requests made within 7 days of the session are treated as a cancellation under Section 1 (Rescheduling Requests), and standard rescheduling fees apply instead of the $180 fee.
If the eLearning has already been accessed or used in any way, the voucher is considered redeemed and cannot be reallocated to a different participant. In this case, a new voucher must be purchased for the replacement participant. This does not affect a session-date transfer for the same participant, where eLearning access remains valid for its original 12-month period.
The Wellbeing Campus reserves the right to decline a change request, or to treat a booking as void and non-refundable, where there is reasonable evidence the enrolment was purchased with no genuine intention for the original named participant or session to be honoured.
4.3 eLearning as a prerequisite Completion of the eLearning is mandatory before attending any instructor-led session. Failure to complete the eLearning beforehand may result in forfeiture of the session without refund.
Code of Conduct — Blended Online Course
Complete all eLearning modules, including watching the films and reading the provided materials, before attending the live session.
Ensure a safe environment for yourself and others during the course.
Show respect to the facilitator and other participants, as you would in a face-to-face session.
Adhere to anti-discrimination policies and maintain privacy and confidentiality.
Notify the trainer by text immediately if you cannot attend or are running late.
Take responsibility for your own self-care. If you feel distressed during the training, inform the trainer.
Join online sessions from a quiet location, free from distractions.
Keep your video on at all times, and use headphones if needed.
